General Terms and Conditions for WAN-IFRA Events

RECITALS

For the purpose of these terms and conditions, any entity of WAN-IFRA (The World Association of News Publishers) will be hereunder referred to as “WAN-IFRA“.

Will be hereunder referred to as the “delegate” any Natural or Juridical person or company taking part in the event, might them be participants, exhibitors, suppliers, speakers, press etc, whether paying or free of charge.

The following terms and conditions set out the legal rules applicable to the WAN-IFRA events. Delegates shall be bound by these terms and conditions upon registering for the event and are advised to read and understand these terms carefully before registering. WAN-IFRA will not accept any conditions contradictory to or deviant from these general terms and conditions.

 

§ 1   Registration, Fees, and Payment Due

1.1 Registration for events must be in writing, either by paper or in electronic form.

1.2 WAN-IFRA will confirm registration to the delegate in writing in electronic form.

1.3 No registration is valid, and WAN-IFRA will not be held responsible, unless a written confirmation was received by the delegate, from WAN-IFRA.

1.4 A valid registration gives right to assist to the programme of the event as specified in the dedicated website and to events held in conjunction with it and included in the fee, if any. The registration fee might also include coffee breaks, lunches and dinners, if so mentioned in the official WAN-IFRA programme. The registration fee does not include the delegate’s travel and accommodation costs, unless otherwise specified in writing.

1.5 Registered Accompanying persons are not considered as Participants and only have access to the dedicated accompanying persons programme. This does not include Conference sessions.

1.6 Payment of the registration fee becomes due upon receipt of the invoice

1.7 WAN-IFRA reserves the right to refuse or withdraw admission to its events to:

  • delegates whose fees have not been paid and received by WAN-IFRA
  • any delegate who does not comply with this policy or who can be reasonably considered likely to break these rules
  • children under the age of 18
  • anybody who takes part in leafleting, demonstrations, objectionable behaviour during or alongside the event or any activity, which were not agreed in advance with WAN-IFRA and/or may disrupt the events.
  • in the case of Study Tours, admission is granted on a first come, first served basis and will not be ensured after the deadline as set by WAN-IFRA has passed.

1.8 WAN-IFRA reserves the right to grant free registrations. Free registrations are granted exclusively in writing, and the beneficiary will be allowed access to the event only upon presentation of the written WAN-IFRA authorisation. These terms and conditions also apply to the beneficiaries of a free registration.

 

§ 2   Cancellation, withdrawal from the Contract by the customer

2.1. If a delegate has to cancel his/her participation due to any Covid-19 related emergencies, there will be no cancellation fee and we will refund the registration fee. Examples of these emergencies would be, if there is a government travel advisory in your country against travelling to the country where the event is being hosted; the Covid-19 situation worsens in their own country or in the event hosting country; or if there is a travel ban from the delegate’s own company management.

2.2 If the delegate cancels the registration up to 30 days prior to the event, the registration fee will be reimbursed in accordance with the terms specified in article 2.3, minus a 10% non-refundable handling fee.

Up to 14 days before the event, 50% of the amount will be reimbursed.

In the last 14 days prior to the event, no reimbursement will be possible except in cases of illness (with production of a medical certificate) or Act of God (supported by verifiable documentation).

2.3 All notices of cancellations must be made by delegates in writing, by letter, email or fax, and sent in due time together with the pertaining documentation to:

2.3 Compensation is granted by way of Credit Notes to be spent on agreed WAN-IFRA  events or products and are valid for a period of two years.

2.4 WAN-IFRA will not refund or compensate travel or accommodation costs or any other personal expenses for delegates who cancel their participation.

2.5 It is possible at all times to send a “substitute participant” on condition that WAN-IFRA agrees and is informed accordingly in writing and in advance, stating the name of the substitute person. If the above-mentioned name change creates extra cost, these will be charged to the participant. These costs could be, but are not limited to, the changing of the name on a nominative train or plane ticket.

 

§ 3   Cancellation or postponement of Events by WAN-IFRA

3.1 WAN-IFRA shall assume no responsibility whatsoever and no reimbursement will be due if the event is altered, cancelled or postponed due to any unforeseen circumstances or Act of God beyond WAN-IFRA’s control. These could include, but are not limited to, war or the apparent act of war; terrorism or the apparent act of terrorism; revolution or an apparent revolution; coup d’Etat; blockade; embargo; widespread labour disputes; epidemics or natural disasters; government restrictions and/or regulations; suspension, cancellation and/or restriction of transportation facilities/means of transportation; civil disorder; or any other emergency.

3.2 In events such as those exemplified in 3.1, WAN-IFRA will not refund or compensate travel or accommodation costs or any other personal expenses to the delegates.

3.3 In the event of cancellation, WAN-IFRA will use reasonable endeavours to alert those who have booked to attend an event or purchased tickets. Details of any cancellation will be posted on the appropriate event website. Delegates are responsible for checking this information prior to the event.

3.4 If by re-arrangement or postponement the event can take place, the booking between the delegate and WAN-IFRA shall remain in force. The Delegate can in this case request compensation following the terms of 2.3 up to the date of start of the event.

3.5 WAN-IFRA reserves the right to make alterations to the programme, date and/or venue at any time without prior notice.

 

§ 4   Liability of WAN-IFRA

4.1 WAN-IFRA will not assume any responsibility whatsoever for any injuries to life, body, health, or any kind of physical damages during the event unless it results from its own proven deliberate or grossly negligent breaches of duty and deliberate or grossly negligent breaches of duty on the part of its legal representatives or vicarious agents.

4.2 The delegates shall insure and keep insured any property they bring to the venue.

The Delegate who brings or leaves property to the venue does so at his own risk. WAN-IFRA will not assume any responsibility whatsoever for any injuries or damages to property (including theft) during the event unless it results from its own proven deliberate or grossly negligent breaches of duty and deliberate or grossly negligent breaches of duty on the part of its legal representatives or vicarious agents.

4.3 Notwithstanding 4.1 and 4.2, liability will never exceed in total the amount paid by the delegate to WAN-IFRA for the registration fee for the relevant event.

4.4 WAN-IFRA accepts no liability and shall never be held responsible for the damages or injuries caused to the delegate or his property by any company other than WAN-IFRA including official partners and event suppliers.

4.5 WAN-IFRA accepts no liability and shall never be held responsible for the contents of the lectures or accompanying documents. All responsibility for the content of lectures or documents lies with the presenter.

4.6 Liability claims expire unless the customer notifies WAN-IFRA immediately after gaining knowledge of the loss, destruction, damage or injury.

4.7 WAN-IFRA is not a professional travel agent.

4.8 The delegate is responsible for his own travel and health insurance, subscribed and paid for by himself in respect of any travel in connection with the event.

 

§ 5   Personal Information

5.1 For registrations purposes, please note that some of the delegate’s personal data will be kept in the WAN-IFRA database. WAN-IFRA undertakes to use any personal data provided by the delegates during the registration process and at the event according to WAN-IFRA’s Privacy Policy as published on https://wan-ifra.org/privacy-policy

5.2 Unless WAN-IFRA has received an explicit request from the delegate disallowing to share his/her information, the name of the delegate will appear on a list of all attendees, alongside their affiliated institutions and Country of base, to be distributed online and/or on paper.

5.3 WAN-IFRA reserves the right to use the delegate’s email address for the purpose of circulating information about the event and WAN-IFRA future initiatives.

 

§ 6   Copyright

Any material produced or published in connection with the WAN-IFRA event is subject to copyright and may not be reproduced, duplicated, published or distributed – neither wholly nor in part – without the express permission of WAN-IFRA.

 

§ 7   Image

The delegate understands and accepts that during the event he or she can be filmed, recorded or photographed and that WAN-IFRA will retain the right to use the delegate’s image in all current and future media, and in particular, but without limitation, on any paper, electronic, digital (CD-Rom, DVD, tablets, smartphones, etc.), magnetic or other media exploitable by computer (and in particular disks, diskettes, tapes) regardless of the purpose of the reproduction (commercial, free of charge, or for advertising, promotional or other purposes) and with no limit in time.

 

§ 8   Speakers

8.1 WAN-IFRA may use the speaker’s name and presentation materials for promoting delegate attendance at the event. Presentations and papers including all associated artwork and illustrations will not be returned unless specifically requested by the author. The papers must be objective and completely free of advertising.

8.2 WAN-IFRA may audio and/or video tape the speaker’s session and the recording may be reproduced as part of the overall event materials. Any acknowledgement regarding Copyright or support should be included at the end of the abstract/presentation by the Speaker.

8.3 Speakers who do not wish to give permission for the above terms and conditions, please inform WAN-IFRA before the commencement of the event.

 

§ 9   World Publishing Expo

9.1 WAN-IFRA World Publishing Expo Registration Policy expressly forbids any non-exhibitor, from soliciting business in the halls at the exhibition, in the aisles, hallways, or other public spaces, irrespective of where the commercial meetings resulting from such solicitations take place. Violators will be asked to immediately leave the premises. We encourage exhibitors, sponsors and media partners to please report any abuse they may observe to WAN-IFRA Management.

§ 10   Applicable Law, place of jurisdiction, other

10.1 The language of these Terms and Conditions is English.

10.2 The Law of the Federal Republic of Germany shall govern any legal dispute arising out of this registration, exclusively.

10.3 Frankfurt is agreed as the court venue for all claims and disputes arising from registrations to any WAN-IFRA event.

10.4 Should any individual clause prove invalid, unlawful or unenforceable, this shall not affect the binding nature of the other clauses.

10.5. Any industry vendor, who is observed to be soliciting business in the aisles, hallways, or other public spaces, or in violation of any portion of the Registration Policy, will be asked to leave immediately. We encourage sponsors and newspaper attendees to please report any violations you may observe to WAN-IFRA Management.

WAN-IFRA recognizes that solicitations may also take the form of commercial activity conducted from a hotel room or hospitality suite; a restaurant, club, or any other public place of assembly.

For the purposes of this policy, solicitation violations may occur at venues other than the designated conference area and at other events. WAN-IFRA must be informed of any hospitality suites, giving express consent prior to the event.
